Email Verification

The DataTools Email Verification service ensures that an email address actually exists in real-time without ever sending a message.

From webforms to landing pages, mobile devices to Point-of-Sale systems (POS), DataTools’ email validation instantly validates the emails you collect.

Anyone can make a mistake and fat-finger their email address while typing, but these simple mistakes cut into your marketing spend and damage your sender reputation. Tessian, an email security platform, reports that organisations with more than 1,000 employees sent 800 misdirected emails every year. That’s two emails per day to the wrong recipient.

Reduce this risk by identifying invalid or fake email addresses before you send the emails to your list.

Email verification identifies email address discrepancies and spam traps before they are flagged by your ISP (Internet Service Provider). Flagging of these emails ruins your sender reputation and causes your emails to get blocked.

Email validation minimises fraud, reduces spam complaints, and eliminates hard bounces by ensuring you are sending to valid email addresses. It improves your marketing ROI and advances customer communication by saving time and money on list cleanup and resending of emails. Customer communications can be delivered flawlessly and promptly when you’re using an email list verified by an email validation tool.

How DataTools Can Help

Our email verification services eliminate hard bounces, reduce spam complaints, and stops your business from being blacklisted. Any of these can happen when you try to send too many emails to an illegitimate address.

These issues cause problems for your marketing team and your company’s reputation. An ill-managed email list can lead to poor marketing ROI, customer experience issues, and poor sales initiatives. This cuts into your bottom line and results in lost revenue and customer complaints.

DataTools’ email verification can solve these issues before they become detrimental to your company. Our email validation tool:

  • Identifies invalid emails
  • Checks every email domain for accurateness and legitimacy
  • Determines whether emails will deliver to your customer
  • Finds email addresses with hard or soft bounce potential

DataTools has over 97% accuracy rates

We go beyond a simple syntax check to ensure the authentication of your email addresses. We have developed custom integrations with the ISPs to communicate with the servers and ensure you are receiving the most accurate data possible. As such, you can rest assured your customers are receiving your marketing emails.

So how does it work?

When an email is sent to the email verification service, 3 stages of verification occur. These are:

Step 1

Determines if the email address follows the correct syntax and has the physical properties of an email address. Does it have a username and an @ symbol? Is the suffix a recognized email format, such as .com, .org, .net, .edu or .gov, etc?

Step 2

Verifies the validity of the email domain (MX record) for the email address. This prioritises the delivery of email messages on behalf of the recipient’s domain to make sure the email domain can send and receive emails.

Step 3

Connects directly to the email server to authenticate if the email address exists on the server. Instead of a simple ping, DataTools’ Email Verification uses custom integrations developed alongside the ISP to communicate with the server via the preferred method. The technology works with all global ISPs and is constantly updated for changes in existing ISPs and new ISPs. This method is 97%+ accurate and averages 0.5 seconds per verification.

What type of information is returned?

The DataTools Email Verification service returns some useful status information about the email.

Primary Email Status

VALID – The email represents a real account / inbox available at the given domain.
INVALID- The email address is invalid. See the Secondary Status section below for more details.
ACCEPT ALL – These are domains that respond to every verification request in the affirmative, and therefore cannot be fully verified. It appears as if all of the emails are Valid at that domain, but the company actually has a firewall or another spam tool that may remove the email message or send a bounce message at a later time.
UNKNOWN – The email address looks good but the associated domain is not responding. This could be a temporary status for domains having intermittent issues or a permanent issue for dying domains.

Secondary Email Status

CONNECTED – Whether or not a valid email is connected to active online networks.
DISPOSABLE – Disposable addresses are created to be Valid only temporarily so their owners can sign up for promotions or services without using a primary address.
ROLE ADDRESS – Email address was created to message a function like sales@, support@, or postmaster@. Role address are email address that are set aside for functions, not people.
